March: Introduction to Monthly Maintenance 🧹

As fundraisers, it’s important to review your monthly giving report and respond to any changes in a timely manner. Here is a checklist for you
to use every month to maintain a healthy account:

✔️ Identify New Partners

    • Search through Social Media for potential partners

    • Ask current partners for any referrals you could meet with

    • Send a thank you note

    • Add them to your newsletter 

✔️ Review Current Partners

    • Look for any changes in giving amount

    • Identify any partners who may be ready to increase giving

    • Send a thank you if there was an increase

    • Update any contact information as necessary

✔️ Check for Lapsed Partners

    • Identify any missed givings or decrease in giving

    • Contact your organization to verify if it was a credit card issue. 

    • Send a communication to the partner within 2-3 days

Example Messages: 

Dear John and Jane, thank you for your faithful partnership. We noticed your giving commitment for the month of _____ was different. We appreciate your gift no matter the amount. We just want to make sure this is what you intended. We look forward to hearing from you.

OR

Dear John and Jane, thank you for your faithful partnership. We didn’t see your regular monthly gift. Often this happens because of a credit card that expires and needs updating. Could I help with getting it updated? 

✔️ Large Donations Partners

    • Verify that any large annual gifts that you expect to come in that month have been processed

    • Send a thank you note
